Privacy Policy

MentionOwl (“we”, “us”) provides AI visibility monitoring for websites at www.mentionowl.com(the “Service”). This policy explains what we collect, why, and the choices you have. The short version: we collect what the Service needs to work, we don’t sell it, and our tracking script is deliberately built to know as little about individual people as possible.

1. Information we collect

Account information

When you create an account we collect your email address and a password, which is stored only as a bcrypt hash. If you sign up through an invitation, we record the inviting site and email so the invitation can be honored.

Session and attribution data

When you sign in we store a session record containing a random token, your IP address, user agent, and — if you arrived via a campaign — the referrer and UTM parameters, held in an HTTP-only cookie for up to seven days before sign-up and associated with your account afterward. Session cookies last up to 180 days.

Site and monitoring data

For each website you add, we store its domain, crawled public content, a generated summary, your monitoring queries, and the results of platform runs: AI answer text, cited URLs, sentiment classifications, and derived metrics. This is content from your own public website and from public AI platform responses.

Visitor analytics (the tracking script)

If you install our optional tracking script on your website, it sends us the page URL, referrer, and user agent of each visit. The script is cookieless. Known AI and search bots are classified as bot traffic; other visits are counted using a short-lived, non-reversible fingerprint used only to avoid double-counting within a day. We store daily aggregates, not browsing histories, and we never build profiles of your visitors.

Payment information

Payments are processed by Stripe. We never see or store your card number. We store your Stripe customer reference, plan, and billing status.

2. How we use information

• To provide, operate, and improve the Service;
• To authenticate you and secure your account;
• To send transactional email (reports, digests, invitations, billing) through our email provider, Resend;
• To respond to support requests;
• To understand aggregate product usage so we can improve it — never to advertise to you or to anyone else.

3. What we don’t do

• We do not sell or rent personal data. To anyone. Ever.
• We do not run third-party advertising or ad trackers.
• We do not use your site content or monitoring results to train AI models.
• We do not collect more from your visitors than the aggregate counts described above.

4. Service providers

We share data with a small set of processors, each only what their function requires: hosting and database infrastructure, Stripe (payments), Resend (email delivery), and the AI platforms we query on your behalf (which receive your monitoring questions, not your account data). Each provider is bound by its own data processing terms.

5. Data retention

Account and monitoring data is retained while your account is active. If you delete a site, its monitoring data is deleted. If you delete your account, we remove your personal data within 30 days, except records we must keep for legal or accounting reasons. Anonymous aggregates may be retained.

6. Security

Passwords are hashed with bcrypt; sessions use signed, HTTP-only cookies; data is encrypted in transit; access to production systems is restricted and logged. No system is perfectly secure, but we treat your data the way we’d want ours treated.

7. Your rights

Depending on where you live (including under the GDPR and CCPA), you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can exercise most of these directly in the product; for anything else, email support@mentionowl.com and we’ll respond within 30 days.

8. Children

The Service is not directed at children under 16, and we do not knowingly collect their data.

9. Changes to this policy

If we make material changes, we’ll email account holders and update the date at the top of this page. Continued use of the Service after changes take effect constitutes acceptance.
